Financial

Progress Claims
Mainzeal has a lot of claims to process and it is in your best interest if we can process them quickly. Unless otherwise advised, progress claims must be received by the 25th of the month. The claim must be clearly set out to show contract work, approved variations, pending variations, materials on or off site where applicable, and retentions.

Direct Credit
Mainzeal can Direct Credit your progress payments into you bank account. This allows you to access your money immediately and not wait for the cheque to clear. If you have not already organised this facility with Mainzeal, forward a copy of your deposit slip to your local branch - your deposit slip will have all the information we need to get this underway. Include a contact name and number in case we need to speak with you.

Inland Revenue Dept.
The IRD has a great deal of information online at www.ird.govt.nz and many of their booklets can be downloaded.

Companies Office
The Companies Office has a site www.companies.govt.nz where you can look up information about any registered company. Some of the information is free and there is only a tiny charge for more detailed information. This is a good place to go if you want to know a bit more about a company that you are dealing with. The site includes information about companies in receivership and keeps a list of banned directors.

ACC
The Accident Compensation Commission has information online at www.acc.co.nz with general information.

Business Advice
The BIZinfo Programme is funded by Industry NZ to assist small to medium-sized businesses in NZ to set up and expand. Services provided under BIZ cover the spectrum of management training to help small businesses better manage and access finance including: business planning, accounting and cash-flow management, and mentoring. Their site is www.biz.org.nz

Employment Relations Service
The Employment Relations Service has an online service at www.ers.dol.govt.nz It contains basic information on laws relating to the workplace and outlines the main rights and obligations of employers and employees.

Training
There are a multitude of organisations around the country that offer training and seminars:

The BCITO is the Building and Construction Industry Training Organisation. We are the organisation that is appointed by Government to develop and implement industry qualifications for the building and construction sector. www.bcito.org.nz

Career Services KiwiCareers is a government-funded website containing New Zealand job, industry and training information, and links to relevant websites www.kiwicareers.govt.nz

Work and Income
Work and Income NZ offer a no fee recruiting service. Depending on the situation you may also qualify for wage or training subsidies when you take on one of their clients. Their site is www.winz.govt.nz

ACC

Contractual

Contracts
When you work for Mainzeal, we organise the contractual paper work that identifies the responsibilities of each party. We have a standard set of conditions which have stood the test of time and being “standard”— it means there are no surprises.

If you do work for some other party and they are not as careful with their contractual arrangements, you may find you are at risk if the obligations aren’t spelt out clearly or are open to interpretation.

There are a number of standard contracts you can use if you want to make your arrangement more formal, including:

National Building Contract (Small Works) - NBC-SW2 pub. 1999. This contract is for use between a Principal and a Contractor where an architect is not involved in contract administration and where the project works are less than $100,000.00. Members of the Master Builders Federation have access to a Full Contract Residential Agreement and a Labour Only Residential Agreement. Members can download them from www.masterbuilder.org.nz

NZS 3915 is a standard contract similar to NZS 3910 but used when an Engineer is not involved. You can download a copy from www.standards.co.nz

Guarantees
When you are required to provide a written guarantee for the Subcontract Works on a Mainzeal project, you will be provided with a guarantee form. We will send you two copies and we require both of them to be returned for counter-signing. The guarantee forms need to be completed and returned with your first progress claim.

It is important that the guarantee is signed correctly - refer below for clarifications on authorised signatories: If you have only one Director then he or she must indicate that they are the Sole or Governing Director and their signature must be witnessed.

If you have two or more Directors, you may sign either with two Directors (two signatures do not have to be witnessed) or the Director and the Company Secretary (their signatures must be witnessed).

If your company has by formal resolution appointed any Authorised Signatories then they must sign for the company indicating that they are an Authorised Signatory and their signature must be witnessed.

If the subcontractor is operating as a sole trader, i.e. not a company but operating under a trade name, then the persons operating the business should sign and state the name by which they are trading e.g. Frederick John Smith trading as “Fred Smith Plumbers”.

Health & Safety


OSH
The Occupational Safety and Health division of the Department of Labour has a site at www.osh.govt.nz Included on the site are a number of guidelines (there’s one for small businesses) as well as some standard forms you may find useful including:

  • Accident investigation form
  • First Aid Register
  • Hazard Identification
  • Notice of accident / Serious Harm
  • Notification of Particular Hazardous Work
  • Workplace Accident Register

Site Safe
Mainzeal was one of the founding members of Site Safe, an organisation set up to undertake the research, development and co-ordination of health and safety activities specifically designed and targeted at the construction industry. Online information is at www.sitesafe.org.nz and includes details of the Site Safe Passport and the Supervisor Gold Card training.

All personnel on Mainzeal sites must hold a current Site Safe Passport.

First Aid
First Aid information and training courses are available through St John’s Ambulance at www.stjohn.org.nz and Red Cross at www.redcross.org.nz

PPE
Personal Protective Equipment can be purchased online from Protector Safety at www.protectorsafety.co.nz and from NZ Safety Limited at www.nzsafety.co.nz

Health & Safety Planning
A written plan is a good way of recording what you will do to manage health and safety. OSH and Site Safe have information to help you put together a plan.

A model procedure is available to assist subcontractors who do not already have written Health and Safety Procedures. The model should be adapted as necessary to fit in with your business operation.

It is not enough to have a policy and procedure - these must be implemented and constantly managed and reviewed. Mainzeal firmly believes that implementing the processes outlined in this model coupled with real commitment by both management and workers will reduce the potential for accidents.

The model has been structured into two parts:

1. Company Health and Safety Policy and Procedures; (company processes)

2. Site Safety Plan. (Site specific Forms 1 - 6)

Once your Company Health and Safety Policy and Procedures have been evaluated and accepted by Mainzeal you will only be required to submit a brief Site Specific Safety Plan on each project. This will considerably reduce the administration cost/time, and focus on site specifics.

Statistics
You can download New Zealand Statistics information from www.stats.govt.nz The website includes regular facts and figures about the population, numbers of building permits issued, assessment of the market size, etc.
